Payroll and Benefits Specialist

Reports to: Managing Director of Human Resources; dotted line to Controller

The Payroll and Benefits Specialist is responsible for maintaining needed confidential benefit and payroll records for the employees of the Curtis Institute of Music and administering Curtis’s program of employee benefits.

The role reports to the Managing Director of Human Resources and Equal Opportunity, has a dotted line reporting relationship with the Controller, and works very closely with the Business Office staff.

Responsibilities:

Payroll
  • Responsible for the processing of payroll for Curtis’ employees and student workers via ADP Workforce Now portal
  • Track employee changes with regard to personal, status, pay rate, tax and deduction information
  • Enter pay data for salaried and hourly employees including part-time employees (faculty/staff), students (on-campus employment), temporary and seasonal employees
  • Coordinate annual worker’s compensation audit
  • Report new hire statistics to the Commonwealth of Pennsylvania
  • Maintain ADP Workforce Now employee portal
  • Maintain employee census information and confidential files
  • Create annual timesheet deadlines for hourly employees and students

 

Benefits
  • Conduct Open Enrollment and annual reelection processes for employee benefits
  • Enroll employees and track eligibility of employees for benefits
  • Maintain ADP Workforce Now benefit information portal
  • Answer employee questions regarding coverage and assist employees with insurance claims/problems
  • Assist in negotiating rates with brokers and insurance companies
  • Handle COBRA and related paperwork/payments
  • Manage the FSA plans including re-elections
  • Provide faculty and staff onboarding and offboarding support related to payroll and benefits
  • Send out annual faculty and staff pension letters and set up eligibility appointments

 

Regulatory Requirements
  • Ensure compliance with all employment, benefits, and wage and hour statutes
  • Report new hire statistics to the Commonwealth of Pennsylvania
  • Coordinate background checks/fingerprinting in accordance with Pennsylvania Act 153 for educational institutions and maintain compliance records for Curtis

Qualifications:

The ideal candidate would possess:
  • 1-3 years’ experience in an administrative office setting; experience with payroll processing highly preferred
  • Proficiency with Office programs, including Office 365, Outlook, Sharepoint, and OneDrive
  • Experience with ADP or ADP Workforce Now highly preferred
