The Engagement Assistant plays a key support role on the Advancement team, helping to foster meaningful connections with donors, alumni, families, and other members of the Curtis Institute of Music community. This position supports a wide range of engagement and fundraising activities, including annual fund campaigns, the Curtis Circles recognition society, donor stewardship efforts, and alumni and family programs. The assistant will help plan and execute events, maintain accurate data and records, and provide high-quality administrative support to ensure the success of Curtis’s donor engagement strategies.

More Details and Qualifications

  • Essential Functions

    Key Responsibilities: 

    Annual Fund and Curtis Circles Support

    • Assist with the planning, execution, and tracking of annual fund campaigns including Giving Day, direct mail, and digital appeals.
    • Coordinate Curtis Circles donor recognition materials and communications.
    • Track membership levels, benefits fulfillment, and renewals for Curtis Circles donors.
    • Support the preparation of reports and materials for internal and external stakeholders.

    Donor Stewardship

    • Help execute stewardship plans for all donors, ensuring timely and personalized acknowledgments.
    • Assist with the management of fellowship stewardship, including donor notification of student performance activities.
    • Maintain accurate donor records in the CRM database and assist in tracking stewardship touchpoints.
    • Coordinate birthday recognition for donors, alumni, and other key Curtis stakeholders.

    Event Support

    • Provide logistical and administrative support for donor, alumni, and family events, both on- and off-campus.
    • Assist with event invitations, RSVP tracking, nametags, materials preparation, and day-of coordination.
    • Help manage follow-up communications and post-event reporting.

    Alumni and Family Engagement

    • Support communication efforts with alumni and families, including newsletters, event invitations, and surveys.
    • Help maintain up-to-date records and contact information in the database.
    • Assist with alumni recognition, volunteer coordination, and family programming initiatives.

    Administrative and General Support

    • Respond to inquiries and requests from donors, alumni, and families in a timely and professional manner.
    • Provide scheduling and meeting support to Engagement Team Members.
    • Maintain accurate and organized files, reports, and documentation.
    • Other duties as assigned.
  • Preferred Experience and Qualifications

    Candidates should be able to demonstrate: 

    • Minimum of one year experience in office management, program development, project management, event management, alumni relations, and/or volunteer management.
    • Excellent communication and interpersonal skills, with the ability to build rapport and establish trust with diverse constituencies.
    • Capacity to write effectively, speak persuasively, and present information logically and neatly in various contexts.
    • Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously and meet deadlines.
    • Proficiency with Microsoft Office Suite and CRM/database software; experience with Raiser’s Edge a plus.
    • Ability to work with alumni, families, donors, and volunteer leadership tactfully and diplomatically.
    • Willingness to work some evenings and weekends.

    • Ability to communicate the value and benefits of music education to all audiences.

  • Working Conditions and Physical Demands
    • Position is located on the Curtis Institute of Music campus in Philadelphia and an in-person work schedule is required on Mondays, Wednesdays, and Thursdays.
    • This position is part-time, 21 hours per week, with the opportunity to occasionally work additional hours not to exceed a total workload of 29 hours per week.
    • Exertional requirements are primarily routine office environment.
    • Some night and/or weekend work may be required occasionally for performances and events.
    • Visa sponsorship is not available for this position. Applicants must be authorized to work in the United States for any employer at the time of hire.
  • Compensation and Benefits
    • $20.00 per hour, gross
    • This position is not benefits eligible
