The Facilities Liaison (FL) is responsible for coordinating general facilities, maintenance, custodial, and dining services tasks and activities across the campus.

The FL works in tandem with a team of permanent onsite outsourced facilities staff from Elliott Lewis (maintenance), City Cleaning (custodial), and Bon Appetite (dining services), and manages the on-site presence and schedules of additional as-needed trades, such as pest control, movers, landscapers, waste management, and snow removal services.

The position reports to the Senior VP of Administration and works very closely with the Director of Campus Safety, Managing Director of Human Resources, Receptionist, and the Associate Dean of Residence Life and Off-Campus Housing.

Responsibilities

  • Establish and operate to an annual facilities budget
  • Process all facilities invoices and reconcile AmEx transactions
  • Develop and print night, weekend, and holiday housekeeping schedules
  • Coordinate Iron Mountain off-site document storage withdrawals and pick-ups
  • Schedule and coordinate secure shredding pick-up
  • Maintain key log and update authorizations as needed
  • Coordinate housekeeping requests
  • Oversee weekly compost, trash, and recycling pick-ups
  • Monitor green roof spaces
  • Coordinate interior and exterior window-washing
  • Coordinate tree pruning service
  • Coordinate snow removal
  • Program and monitor inclement weather hotline
  • Schedule kitchen hood and other dining center cleaning needs
  • Negotiate various energy contracts
  • Oversee required EnergyStar benchmarking for Lenfest Hall
  • Obtain certificates of insurances as needed
  • Assist Senior VP in developing materials for Facilities Committee and Board of Trustees meetings
  • Assist Director of Campus Safety and Managing Director of HR with preparation of Annual Security Report
  • Other duties as assigned

Candidates should be able to demonstrate

  • Minimum of three years of experience in facilities operations
  • Capacity to balance competing priorities in a complex environment while maintaining a high level of productivity, quality, and accuracy
  • Superior organizational skills, attention to detail, and the ability to meet simultaneous deadlines.
  • Interest and experience developing new systems for project management to increase efficiency
  • Well-developed written and oral communication skills
  • Familiarity with facilities software and technology systems
  • Proficiency in Microsoft 365 programs, especially Excel and Word; ability and willingness to learn other software programs as needed

Working Conditions/Physical Demands

  • The ability to remain in a stationary position for prolonged periods of time, as well as the ability to move about the facilities – sometimes rapidly and climbing stairs
  • Using a computer (generating and reviewing reports, etc.) while sitting for extended periods
  • Must also be able to position oneself to maintain and inspect equipment, including crouching under tables and desks
  • Occasional heavy lifting
  • Good manual dexterity required to use common office equipment (e.g., computers, mobile devices)

Work Schedule

  • Varied hours/schedule; generally weekdays 8 am – 5 pm, but some night and weekend work may be required for special events or emergency response

Compensation:

  • $50,000 annually
  • On-campus housing and dining plan may be available for an interested candidate and would be included in overall compensation.
