Artistic Programs Coordinator   

Report to: Associate Director of Recitals and Master Classes

Status:  Exempt

The Artistic Programs Coordinator plays an integral role in the production, implementation, and  presentation of musical performances at Curtis.  Working closely with staff, faculty, students, and fellow  members of the Department of Artistic Programs and Performance (DAPPs), this position is responsible  for the creation of electronic and printed materials used internally for artistic planning as well as for  public usage. S/he will be intimately familiar with the school’s performance calendar, which includes  approximately 150 performances annually in Philadelphia alone, and will play an active, on‐site role at a  select number of recital performances.   

Essential Functions:         

Create, edit, and/or print written content for the Department of Artistic Programs and Performance  (DAPPs), including but not limited to: 

  • Recital programs 
  • Overtones, the semiannual publication of the Curtis Institute of Music 
  • Curtis YouTube Channel 
  • Program books for the Curtis Symphony Orchestra and the Curtis Opera Theatre 
  • Promotional materials for performance events both in print and online
  • Contracts and itineraries for guest artists 

Regularly maintain the school’s performance databases, artist rosters, and calendar

  • Updates to calendar listings including event details, repertoire, artists, and ticket information 
  • OPAS: the address book, repertoire, and composer databases 
  • Asimut: recital and master class listing and assignments 
  • Performance reports and audits

Communicate with other departments to ensure congruence and functionality across databases and  platforms 

  • Monitor calendar exports to internal and public calendars 
  • Troubleshoot database issues and propose ways to increase user efficiency 
  • Represent DAPPs on interdepartmental committees, particularly those related to editorial  content and digital initiatives

Supervise front and back of house at recitals throughout the season 

  • Represent the school for visiting patrons, including public welcome speeches 
  • Oversee backstage student crew 
  • Ensure production consistency and provide feedback to the Director of Recitals and Master Classes

 

Qualifications:

  • Strong familiarity with classical music history, performers, and practices  
  • Outstanding writing and editing skills; keen attention to detail; ability to adhere to established  style guidelines 
  • Capacity to balance responsibilities and produce professional quality work under tight deadlines,  while articulating limits and boundaries   
  • Comfortable working in both office and performance environments   
  • Demonstrated ability to work collaboratively as part of a team, but also to function  autonomously when necessary 
  • Availability during standard office hours, as well as evenings and weekends as required 
  • Technological familiarity with customary office software and platforms, including but not limited  to Microsoft Office (Word, Excel, Outlook), Adobe, Google Docs, etc. 
  • Experience with artistic software platforms (OPAS, Asimut, ArtsVision) preferred but not  required
