Advancement Associate

Reports to: Vice President, Institutional Advancement

Department: Advancement

Status:  Exempt

The Advancement Assistant provides broad support within the Advancement Department and related departments, ensuring the smooth operation of the office by assisting with administrative functions including database updates, departmental budget tracking, managing student workers, mailings, phone calls, and operational tasks such as ordering supplies, and managing deliveries. This position also provides support to other departments within Curtis as needed. 

Key areas of work comprising this position are: 

Departmental Budget Tracking 

  • Maintain tracking documents for all Advancement, Public Relations, and Digital Strategy budget lines, keep copies of invoices for relevant files  

  • Reconcile budget figures with monthly reports from the business office  

  • Reconcile and obtain approvals for Amex statements from the advancement, public relations, and digital strategy departments  

  • Work with department managers on budget forecasting  

Database Updates and Hygiene  

  • Update Raiser’s Edge with corrected contact information for alumni, parentsdonors, and ticket buyers  

  • Reconcile information from alumni engagement platform (Curtis Connect). Includes alumni career and news updates added to Curtis Connect and undeliverable email addresses from Raiser’s Edge NXT. 

  • Enter alumni notations from Overtones into Raiser’s Edge  

  • Research lost and uncontactable alumni 

 Student Worker Management  

  • Supervise student workers: gather projects, monitor student availability, assign work, sign and turn in timesheets 

Operational Support

  • Oversee department mailings, coordinate with Advancement staff as needed  

  • Serve as liaison with the Facilities Department to coordinate reserving rooms, including AV and IT needs, and catering for Advancement meetings and events on campus 

  • Order office supplies such as paper and school letterhead 

  • Handle copier and mail machine repair and maintenance  

  • Answer the Advancement phone line, monitor the email account  

  • Participate in regular departmental meetings 

  • Support staff celebrations and events – birthdays, anniversaries, gatherings, etc.  

  • Keep common areas clean and organized (including basement storage area) 

  • Serve as backup for patron care and gift processing as needed 

Support for other departments 

  • Team leaders from other departments of Curtis may request support from the Advancement Assistant in coordination with the VP for Institutional Advancement
